Privacy Act Statement

(Emergency Contact and Passport Information aboard NOAA Ships)


Authority The collection of this information is authorized under 5 U.S.C. 301(Departmental regulations), 5 USC 552a (Records maintained on individuals); 15 U.S.C. 1512 (Powers and duties of Department), and 44 U.S.C. 2904 (General responsibilities for records management) and DEPT-9 (Budget and Accounting Act of 1921;Accounting and Auditing Act 1950; and Federal Claim Collection Act of 1966).

Purpose Individual’s permission is required for use of their emergency contact, official government passport, or personal passport. NOAA Ships are Federal Government facilities. This personal identifiable information (PII) will be utilized in the event of an emergency situation on board the ship. The information will be used to recall personnel to the vessel when required due to an emerging or expected threat (i.e. natural disaster, foreign conflict, etc.). Official or personal passport information is used to process customs and foreign clearance when making a foreign port call or returning to the United States from an international deployment that included a foreign port call.

Routine Uses The information is utilized for the purpose set forth above and may be used by the NOAA Ship and/or NOAA Marine Operation (MO) in the event of an emergency. Disclosure of this PII is permitted under the Privacy Act of 1974 (5 U.S.C. Section 552a) to be shared among MO staff for official work-related purposes. Disclosure of this information is also subject to all of the published routine uses as identified in the Privacy Act System of Records Notice DEPT-9 Travel Records (Domestic and Foreign) of Employees and Certain Other Persons and Privacy Act System of records Notice DEPT-18, Employees Personnel Files Not Covered by Notices of Other Agencies.

Disclosure Furnishing this information is mandatory, failure to comply will result in your inability to get underway on a NOAA Ship.
